UK Law

Under PSSR 2000, owners and users of pressure systems must have a written scheme of examination and ensure systems are examined accordingly. Failure to comply can result in HSE prohibition notices, unlimited fines and prosecution.

Regulation Guide

What Does UK HVAC & Pressure Law Require?

The Pressure Systems Safety Regulations 2000 (PSSR 2000) place a duty on owners and users of pressure systems to ensure that systems are designed, installed, maintained and operated safely. A written scheme of examination must be drawn up by a competent person and the system examined in accordance with that scheme at defined intervals.

For HVAC systems containing fluorinated greenhouse gases, the F-Gas Regulation requires certified engineers to carry out regular leak checks, maintain records of gas quantities and ensure all servicing is performed by F-Gas certified personnel. For ventilation systems, COSHH Regulations 2002 require LEV systems to be examined and tested at least every 14 months.

For HVAC and mechanical engineering companies managing multiple clients and assets, staying on top of examination schedules, gas records and documentation is a significant operational challenge. CertFlow brings every certificate, asset and client into one simple system.

Required Examination Frequencies Under UK Law

Pressure Systems
Examination frequency defined by the written scheme of examination. Typically every 14 months for pressure vessels under PSSR 2000.
PSSR 2000
F-Gas Leak Checks
Systems of 5 tonnes CO2 equivalent or more: checked annually. 50 tonnes or more: every 6 months. 500 tonnes or more: every 3 months.

FAQs

Common Questions About HVAC & PSSR Compliance & CertFlow

Everything you need to know about UK HVAC and pressure systems regulations and how CertFlow supports your team.

The PSSR 2000 require that pressure systems are designed, installed, maintained and operated safely. Owners and users must have a written scheme of examination drawn up by a competent person, ensure the system is examined in accordance with that scheme, and retain records available to the HSE on request. Failure to comply can result in prohibition notices, unlimited fines and prosecution.
The frequency is determined by the written scheme of examination drawn up by a competent person. The scheme specifies which parts must be examined, the nature of the examination and the maximum interval between examinations. For most pressure vessels this is typically every 14 months, but the scheme takes precedence. CertFlow tracks examination dates and flags assets approaching their due date automatically.
Under the F-Gas Regulation, retained in UK law post-Brexit, operators of equipment containing fluorinated greenhouse gases must ensure regular leak checks by certified engineers and maintain records of gas quantities. Leak check frequency depends on the CO2 equivalent charge: systems of 5 tonnes CO2e or more require annual checks; 50 tonnes or more every 6 months; 500 tonnes or more every 3 months. All work must be carried out by F-Gas certified personnel.
Local Exhaust Ventilation systems must be examined and tested at least every 14 months under COSHH Regulations 2002. The examination must be carried out by a competent person and a report produced recording the condition of the system, performance measurements and any remedial actions required. Records must be kept for at least 5 years.
Yes. Engineers complete inspections on the mobile app — capturing system readings, photos and digital signatures — and CertFlow generates a branded, compliant PDF certificate instantly. Supported types include HVAC service reports, pressure systems examinations, F-Gas inspection records, boiler inspections, ventilation surveys and HVAC RAMS.
Yes. CertFlow is built for HVAC and mechanical engineering companies managing large client portfolios. Manage unlimited companies, sites, zones and assets from one dashboard. Each client gets their own portal for instant access to their HVAC certificates, pressure examination records and F-Gas logs — no admin overhead on your side.
Engineers servicing systems containing F-Gas must hold a valid F-Gas certificate issued by an approved body. Pressure system examinations under PSSR 2000 must be carried out by a competent person, typically a chartered engineer or specialist inspection body. CertFlow captures and stores engineer qualification details against every report as part of the audit trail.
